Terms of service

Close Fetch is operated by Kimlay Ventures LLC, registered in Pennsylvania, at 501 E Main St, Suite D, Palmyra, PA 17078 (“we”). Contact support@closefetch.com for support, billing and security questions. These terms apply to the bookkeeping or accounting firm that creates a workspace (“you”) and its users.

Close Fetch helps collect and verify the bank and card statements in your firm’s confirmed scope. A Ready packet means the configured statement requirements passed the application’s checks or were waived by an authorized firm user. It does not certify the statements’ authenticity, reconcile transactions, close the books, or replace professional review. You remain responsible for the scope, waivers and accounting decisions. Close Fetch does not provide accounting, tax or legal advice and does not file anything on your behalf.

Close Fetch searches only evidence inside Close Fetch: files uploaded through its secure links and attachments received at its intake addresses. It does not search email inboxes, cloud drives or bank accounts.

Sample workspaces contain synthetic data for evaluation. They are never emailed to anyone and never count toward your plan.

You must have authority to provide client data and to send requests to client contacts. Firm users must protect their accounts and use multi-factor authentication. Notify support of suspected unauthorized access. Account recovery requires identity and firm-authority verification; we will not disable security checks solely because someone can email support.

Close Fetch sends requests and reminders to the client contacts you choose, on the schedule you configure. Reminder emails include links that let the client pause reminders or unsubscribe. A firm owner or admin can pause all client email for the firm at any time; queued requests and reminders wait until sending resumes. Client links expire after 14 days and can be revoked sooner. Before showing earlier periods or received items, a client link asks the recipient for a code emailed to the link’s contact.

The launch plan costs $79 per month for up to 30 active clients. A client counts as active once per billing period when at least one of its close periods is operated in that period—for example a request or reminder is sent, a document is uploaded or emailed in, or a document is processed. Storing a client or preparing a period does not count. Sample clients never count.

When 30 clients have already counted in a billing period, outgoing requests and reminders for additional clients are held, not cancelled, and resume when the next billing period starts or the limit allows. Client uploads and emailed documents are never blocked by this limit; they are processed and counted, so the count can exceed 30. Separate daily limits on uploads and AI processing protect the service from abuse.

Workspace trials last 14 days. Activating a paid subscription uses Stripe Checkout, which displays any remaining trial, payment method requirements and the first billing date before you confirm. Subscriptions renew monthly until canceled. You can cancel renewal from Settings → Billing; the billing portal shows when your subscription will end. When a trial ends without a subscription, or when a subscription ends, outgoing requests and reminders stop. Authorized users keep access to existing records; cancellation does not automatically delete them. Refund requests are reviewed individually; contact support@closefetch.com.

Material price changes apply to future renewals after notice; cancellation remains available.

Our handling of personal data is described in the privacy policy. Documents remain until the firm owner requests deletion. The firm owner can export records and schedule client deletion with a 24-hour cancellation window. Don’t use Close Fetch to request documents you have no right to, to send spam, to store unlawful content, or to interfere with the service or other firms’ data.

The service depends on third-party systems and can be interrupted. We do not offer a guaranteed uptime or response-time commitment under the launch plan. We may maintain or change the service. We may suspend processing for abuse, security risk, legal requirements or nonpayment. Suspension does not grant another firm access to your records.

To the extent permitted by law, the service is provided as available, without warranties of uninterrupted operation, perfect extraction or fitness for a particular purpose. Neither party is liable for indirect or consequential loss to the extent permitted by law. Aggregate liability is limited to the fees paid or payable for the service in the six months before the event giving rise to the claim. These limits do not apply where applicable law forbids them, or to fraud or willful misconduct.

Pennsylvania law governs these terms, excluding its conflict-of-law rules. Disputes go to the courts with jurisdiction in Lebanon County, Pennsylvania, or the applicable federal court. Mandatory rights and jurisdiction rules remain applicable.
